Fleet Pro
A hire fleet does a year's mileage in four months.
Running your own replacement vehicles is a different job from listing them. Fleet Pro is the compliance and utilisation half — the part that stops a vehicle silently going out of test, and tells you whether an idle car is a demand problem or a workshop one.
For accident management companies and vehicle replacement operators running their own vehicles rather than sourcing them.
Why it exists
A hire fleet fails in two quiet ways. The first is compliance: a vehicle goes out of test, or its insurance lapses, and nobody notices until it is on a road with a customer in it. That is not a spreadsheet problem, it is a spreadsheet consequence — the date was in there, and nothing made anybody look at it.
The second is subtler. Half the fleet is sitting still, and nobody can say whether that is because demand is soft or because the vehicles are stuck in a workshop. Those need opposite responses, and a single utilisation figure cannot tell them apart.
What it does
Compliance that chases itself
- MOT, tax, insurance and service dates
- Held per vehicle, alongside everything else about it.
- A daily sweep
- Raises a task before each falls due, on the lead time you set. The point is not the reminder, it is that nobody has to remember to look.
- Service due on mileage
- As well as on date. A vehicle doing hire mileage reaches its service interval long before the calendar says so.
What each vehicle actually costs
- Running cost history
- Servicing, repairs, tyres and damage, against the vehicle rather than the month.
- Off-road time with a reason
- Not simply unavailable — unavailable because of what. Which is the difference between a fleet problem and a supplier problem.
Utilisation, honestly
- Against days available
- How hard the vehicles you could deploy were actually working.
- Against the whole period
- Including the days they were off the road. The gap between these two numbers is the answer to the question a single figure cannot address.
What changes
Nothing goes out of test
Because the date does not sit in a spreadsheet waiting to be checked — it raises work before it matters.
You can tell demand from downtime
Two utilisation figures, side by side. A wide gap is a workshop conversation; a narrow one at a low number is a sales conversation.
The cost of a vehicle is a number, not a feeling
Which is what makes a replacement decision defensible.
What it does not do
Fleet Pro is not telematics. It does not track vehicles, read diagnostics, or interface with a black box — it holds the compliance, cost and utilisation record for a hire fleet.
It also does not book servicing for you or hold supplier contracts. It tells you what is due and records what was done.
